Project Coordinator – Exam Events

We have also established a reputation as the ‘go-to’ partner of leading professional associations and education providers for their exam delivery.  Providing more than ‘just room hire’, Cliftons helps event planners, project managers and industry professionals bring all the necessary elements together for a successful event. About the Role We are recruiting for a highly-organised, client-focused professional to join the team as Project Delivery Manager for our growing Exam business. The focus of this role is to manage the successful end to end project delivery requirements for an existing multi-client exam portfolio across many locations – interstate and internationally. The exams vary in nature according to the project and may be in- person, online, virtual, practical, oral, written - so there is plenty of variety within this role as well as client stakeholder interaction.Role Responsibilities Gather the exam based project requirements from the client and ensure these are captured fully and correctly into our booking systemLocate and manage resources to deliver these exam events – from venues to invigilators, including outsourcing to regional partner locations and suppliersStakeholder relationship management – with ongoing proactive communications with clients, venues and internal stakeholders to ensure the projects run smoothlyAct as the main point of contact on exam delivery days – being the contact between on- the-ground staff and clients – escalating any issues and ensuring they are managed accordinglyWork closely with the Sales team to ensure accurate revenue forecasting and assist with developing contractsMaintaining internal references for each client’s specific requirementsDeveloping documentation and procedures while continuously improving process and service deliveryEnsure invigilators and staff are adequately briefed and trained in line with client specificationsHold regular stakeholder meetings with key client organisationsFinalisation of events, accurate invoicing and post-event reportingAbout You This unique opportunity will suit someone coming from an exam project support or events management background with a strong focus on managing the logistics and the finer details for large or complex events.  To succeed in the role, you will demonstrateProven ability to manage and deliver services / projects often involving complex solutionsA strong client focus and be adept at building and maintaining strong relationships with clients and staff at all levelsVery strong communication skills to brief and train staff directly and via on-line toolsSelf-confidence and critical thinking skills to suggest improvements and efficiencies for the client and CliftonsHigh level Excel skillsHigh level computer competency –we use Dynamics CRM for event management/An ability to prioritise and manage multiple projects simultaneously andAn ability to delegate tasks to others and ensure the seamless delivery of each eventAbility to work well under pressure and manage often high stress situationsAbout the Team We are a progressive company that welcomes input from our team at all levels.
